Our client is a leading Water Treatment Company that is now recruiting for a Pre-Commission Cleaning Department Manager to run a Division

The position of manager holds responsibility for contracts and ongoing relationships with suppliers of materials or services to the company as well as the management and supervision of a contract team and the delegating of tasks accordingly and meeting clients exact requirements.

Financial budget supervision and ensuring the cost-effectiveness and value for money of contracts are other key tasks In this position you should possess excellent written and verbal communication skills and be able to develop and maintain effective working relationships with suppliers, clients and staff. You also need to be able to research and keep up with changing market trends as well as working as part of a team.

We expect most of your work to be split between the office and site, meeting clients, ensuring staff are working correctly and also happily within the role and job they are attending.

Description:

The Manager will work closely with and support Sales/Operations/Administration & Directors. You will handle the direct management of Contract staff and delegate jobs/assignments to your team. You will also assist the sales teams, often giving them guidance and support. As Manager you will oversee contracts and forms, revising and ensuring all verbiage and statements are correct prior to release to other departments or clients.

As Manager you will perform or delegate to your team and support staff many of the following tasks:

• Effectively liaise with the sales/estimating team to create an accurate contract plan.

• To utilise the required control and monitoring documents

• To liaise with all departments with respect to information sharing

• To provide accurate timely management reports

• To provide project plans, both activity based and financial

• To provide excellent customer relations and after sales support

• You will issue RAMS and compile lists of required equipment and chemicals for any given project

• Liaising with customers

• Preparing monthly reports • Managing tenders • Monitoring changes or developments within the industry • Evaluating customer needs • Training staff. Identifying any training requirements for yourself or members of your team • Conducting employee appraisals

• Training staff to ensure all tasks can be completed correctly and safely

• Ensuring all jobs are completed to contract requirements, company requirements, H&S requirements and legislative requirements • Ensuring all company policies and followed and all staff are aware of procedure, H&S requirements and legislative requirements

• Maintain open communication with all parties involved in any contract i.e. sales, clients, directors, staff. • Provide daily updates with the status of all projects/contracts to all relevant parties, to include in certain instances client, sales, operations, accounts, administration & directors • Ensure staff have all available plant/equipment/tools to carry out each task assigned to them • Ensure staff wear company uniform daily and represent the company as expected

• Ensure all plant/kit/clothing/equipment is safe, fit for purpose, in date and meets all legislative, work and H&S requirements.

 

Team Specifics

  • All paperwork must be checked daily to ensure it is received and completed correctly
  • All tasks set out for the day must be checked as complete in accordance with the required job sheet
  • Where necessary attend sites, attend commissioning meetings, attend site performance/technical meetings
  • Carry out mid contract performance reviews and issue these officially. Get client feedback.
  • Ensure the correct chemicals/materials are being used. Ensure these are being used correctly to include dose rate, level checks, chemical handling, manual handling.
  • Be available daily for your office team, site team and clients to make contact. Contact these people immediately following the receipt of a message or email. In the first instance always by phone follow everything up by email.
  • Ensure your day/movements are planned and place upon scheduler
  • Review site specific method statements and risk assessments. Adjust/amend if required
  • Issue a daily update to appropriate departments/personnel
  • Verification that labour allocated to a job is capable of that job
  • Site staff must be contacted daily to ensure they have received all their allocated job sheets, to get a report against the days work. To report this where applicable (all instances in pre comm.) to the client with a daily update
  • To report any challenges, deviations immediately to the appropriate manager
  • All paperwork must be checked as correct before passing to scheduling
  • All paperwork must be checked as correct before passing to administration to raise certificates etc
  • Verification that RAMS have been received, read, understood and signed
  • Ensure all survey notes/drawings are passed to the engineers
  • Ensure materials allocated to the job are correct and costs are recorded against the job
  • Ensure surveys carried out are correct, and record all the information required so quotes can be raised or materials, method statements etc are accurate
  • Ensure purchases against any project/job do not exceed the estimate and jobs are completed within budget
  • Improve the operational systems, processes and policies in support of organizations mission -- specifically, support better management reporting, information flow and management, business process and organizational planning.
  • Ensure that invoices for goods received are checked for accuracy, maintain records of expenditure and assist with the review of current procurement of materials. Liaise with Accounts to ensure costs against jobs are accurate
  • Ensure deductions required due to loss of kit, plant, damage to vehicles etc is passed to accounts asap

This is a Senior role within the company. Would be ideally suited to someone either already running a Pre-Commission department or someone currently in a Manager / Contract Managers role in the industry looking to make the move in to running their own division.
